in itself will help businesses improve cash flow, simply by
reducing the debt turn of their invoices.
Through experience, we have recognised that many businesses
find it difficult to collect outstanding payments from their
customers because they are either too busy doing what they do
best or just don’t like chasing their clients for payment.
Maybe the existing credit controller is off sick, on holiday,
maternity leave or just poor at their job. Sometimes it is difficult
and time consuming to advertise, recruit and train a new employee
to understand your business and become a proficient credit controller.
And a reliable one too.
Employing Aston Rothbury as your credit control department will
eliminate these problems and will immediately generate income
by collecting payments on time. And it will cost less than employing
one in-house credit controller. In fact, it is likely to add
no extra cost to the business at all and will probably save the
business money.
The aim of our collections department is to improve your cash
flow and to maintain excellent relations with your debtors.
How We Do It
As a customer of Aston Rothbury, you will be allocated a member
of our collections team and they will discuss with you your
collection needs. We will identify your key clients in order
for us to prioritise our collections agenda, although we do
realise that all your clients are important.
A typical collections strategy will begin with a polite reminder
letter being produced automatically when your invoice falls 7
days overdue This will be followed up 5 days later with a telephone
call to your customer during which we will not only ask for payment
but will attempt to resolve any disputes that may arise.
Because of the nature of our collections service and by designating
a specific collections administrator for your business, we can
easily adapt our collections strategy. After all, our typical
collections process may not be suitable for some of our clients.
It is after this initial contact that the Aston Rothbury system
really takes effect.
Many of our larger competitors rely solely on computer generated
letters and reminders often causing upset and distress to the
client. Aston Rothbury is different because we prefer our collections
team to be pro-active rather than reactive.
After the initial contact with your client, your designated collector
will decide the most appropriate course. Smaller debts may be
followed up by sending one of our suite of letters available,
or if need be by setting a reminder for a follow up telephone
call depending on the outcome of the initial contact. Each contact
is noted and can be read by anyone on the collections team if
needed, avoiding any duplicate letters or telephone calls.
It is an unfortunate fact that some of your clients will be
reluctant to pay for reasons best known to themselves. This can
often be a difficult situation with future business being weighed
against maintained cash flow.
In such an event, should further recovery action be needed, we
are able to provide our own in-house legal team, avoiding costly
legal fees for debts under £5000. However we are always
aware that we are dealing with your clients and will not take
any action without fully consulting you. Interesting Statistics
You probably thought there was no such thing as an interesting
statistic. Well currently our collections team are responsible
for collecting many millions of Pounds (and other currencies)
each month. Despite this, our records show that, on average,
only 3% of client debt reaches more than 30 days beyond its
stated credit terms. Now that’s got to be interesting! |
